10 Months Before: Legal Requirements

Getting legally married abroad involves paperwork. Requirements vary by country and your nationality. Some couples choose to complete the legal ceremony in Canada and hold their destination event as a celebration. Others complete the full legal requirements abroad. Either approach works — just plan ahead. Typical requirements include:

  • Apostille-certified copies of birth certificates and identification
  • Proof of single status (some countries require this)
  • Religious ceremony documentation if required
  • Minimum residency period at destination (varies by country)

9 Months Before: Guest Coordination Begins

Send save-the-dates as early as 9–10 months out for international weddings. Your guests need time to apply for passports (or renew them), arrange travel, and plan time off work. Include a destination information sheet with your save-the-dates: climate, currency, cultural customs, and an approximate cost guide for travel and accommodation.

8 Months Before: Book Travel for Key Guests

Work with your travel specialist to negotiate group rates for your wedding guests. Many hotels offer room blocks for wedding parties with preferential rates. Coordinating flights for family members who may not be comfortable booking internationally is also a valuable service — we handle this regularly for our wedding clients.

6 Months Before: Finalize Vendors

By six months out, your vendors should be confirmed: photographer, caterer, florist, entertainment, and officiant. 4 Months Before: Guest Travel Finalized

All guest flights and accommodation should be locked in by four months before the wedding. Chasing RSVPs at this stage is expected — but the travel logistics need to be settled. Any guests with special requirements (medical, dietary, mobility) should be communicated to the venue and accommodation team now.

2 Months Before: Final Details

Confirm final numbers with caterers and venue. Review the run-of-show and ceremony script with your officiant. Arrange airport transfers for arriving guests. Organize a welcome event — a group dinner or cocktail evening — for the night before the wedding so guests can connect before the main event.

1 Month Before: Travel Documents and Packing

Ensure all guests have their travel documents in order: passports, visas if required, travel insurance. Your wedding coordinator (whether on-site or your travel specialist at home) should have a full contact sheet for every vendor. Pack the dress/suit last — but start organizing everything else now.
